Google Groups

Overview

At GitLab, Google Groups serve as email distribution lists for team communication and notifications. They enable us to reach specific teams, departments, or interest groups without managing individual email addresses. This is particularly useful for company-wide announcements, team-specific discussions, and automated notifications from various systems.

They can also be used for Google Drive sharing purposes, calendar events, and more.

Creating and Managing Groups

The EUS team can support with creating a new Google Group and adding members.

If you need an Automated Google Group for automatically populating all members of a division, department, location, etc… please follow the linked page to learn more.

Best Practices

  • Google Groups should primarily be used for email distribution, and sharing Google Drive files and folders
  • Each group should have a description, to help identify it in the future
  • Groups should generally be named after their purpose and appropriate attribute (For example, “Engineering Division” instead of “Engineering Team”, as “Team” is not an approved attribute in Okta).
